Jurnal Space Terms of Service
Effective date: 7 November 2026
These Terms of Service (the “Terms”) govern the services provided by PT Impresi Pustaka Digital Nusantara, operating under the name Jurnal Space (“We”, “Us”), to journal managers, institutions, or individuals who order those services (the “Client”). By ordering or paying for a service, the Client is deemed to have read and agreed to these Terms.
1. Definitions
- Subscription Services: Jurnal Space Hosting (Journal, Portal, and Institution plans) and Maintenance on the Client’s server, billed annually.
- Project Services: OJS installation, migration, upgrades, Custom Themes, journal setup, and other one-off work.
- OJS: Open Journal Systems, open-source software developed by the Public Knowledge Project (PKP) and licensed under the GNU GPL v3.
- Quotation: a written document (including by email) setting out the scope, price, and schedule of the work.
- Handover: the point at which We declare the work complete and the Client is able to use it.
- Client Data: all journal content, databases, manuscript files, and user accounts in the Client’s OJS installation.
2. Scope of Services
- The scope of each service follows the plan description on jurnal.space and/or the Quotation. If the two differ, the Quotation prevails.
- We handle the technical and visual side of OJS. We do not provide copyediting, peer review, the supply of editors or reviewers, or accreditation or indexing services.
- Work outside the scope of the Quotation is charged separately, after the Client’s approval.
3. Orders & Quotations
- For migrations and upgrades, We carry out a free initial assessment to determine the work tier. The final price is stated in the Quotation.
- A Quotation is valid for 30 days from its issue date. If the Client has not accepted it within that period, the Quotation is no longer binding and We may issue a new Quotation with an adjusted price or schedule.
- Work begins once the Client has accepted the Quotation and paid in accordance with Section 4.
- We may decline an order, including from a journal suspected of being predatory, from a journal that imitates or hijacks the identity of another journal (hijacked journal), or where the activity falls under the prohibited uses in Section 12. If We decline after payment but before work has started, the payment is refunded in full.
4. Prices & Payment
- Clients incorporated or domiciled in Indonesia are billed in Indonesian Rupiah. All other Clients are billed in United States Dollars (USD). We are not yet registered as a VAT-registered entrepreneur (Pengusaha Kena Pajak/PKP) in Indonesia, so no Indonesian VAT is charged. If this status changes, VAT will be added in accordance with tax regulations, and the Client will be notified before it applies to the next invoice. Domain fees, Crossref membership, and other third-party services are not included unless stated in the Quotation.
- Subscription Services are paid in advance for one year.
- Project Services are paid in two instalments: 50% in advance before work begins, and 50% at Handover, unless otherwise agreed in the Quotation.
- Renewal invoices for subscriptions are sent no later than 30 days before the subscription period ends.
- If payment is more than 14 days overdue after the due date and written notice, We may suspend the service in accordance with Section 13.
- Payments received are non-refundable, except where: (a) We cancel the work before it starts, in which case the payment is refunded in full; or (b) We are unable to complete the work through Our fault, in which case a proportional refund is made for the unfinished portion.
- Payment-sending fees on the Client’s side, including intermediary bank fees, are borne by the Client. Receiving and currency-conversion fees on Our side are borne by Us.
- If the Client is required by tax regulations to withhold Indonesian income tax (PPh) on payments to Us, the amount withheld counts as part of the payment. The Client must provide Us with the withholding slip (bukti potong) no later than the end of the month following the payment.
5. Client Obligations
- Provide the necessary access (hosting panel/SSH, database dump, the
files/andpublic/folders, or an OJS administrator account) and accurate information. - Take responsibility for all journal content, including the legality of manuscripts, copyright, and compliance with publication ethics.
- Keep administrator accounts and passwords held by the Client confidential.
- Arrange its own memberships or registrations with third-party services (e.g. Crossref, ISSN, indexers) in the name of the Client’s journal or institution.
- For Maintenance on the Client’s server: ensure the server remains accessible to Us and meets OJS minimum requirements.
6. Our Obligations
- Perform the services professionally within the agreed scope.
- For migrations and upgrades: make a full backup before starting, test on staging, deliver a verification checklist, and prepare a rollback plan.
- For Jurnal Space Hosting: run scheduled backups, apply OJS security patches, and handle server-side errors.
- Keep access credentials and Client Data confidential in accordance with the Privacy Policy.
7. 30-Day Warranty
- For every Project Service, We fix free of charge any error or damage caused by Our work that is reported within 30 days of Handover.
- The warranty does not cover: new feature or change requests; changes made by the Client or others after Handover; disruptions from servers, networks, or software outside Our control; or paid third-party plugins.
